Trinity Episcopal/Lutheran Church is searching for a communications and administration associate who can help the Trinity community thrive as we love and serve our neighbors. This is a 12-15-hour per week position. Starting wage is between $18-20/hour, depending on experience. This person is chosen by the Dean/priest-in-charge and reports to them.
This position balances (1) being present on-site at Trinity during published office hours, currently 2 mornings each week (2) meeting specific weekly publishing deadlines for newsletters and worship materials, and (3) doing tasks that can be carried out remotely and on a flexible schedule. The Associate will be comfortable working in the context of a progressive, affirming Christian community, will have a high level of maturity and integrity, and the ability to be discrete and observe strict confidentiality around pastoral matters. Must have a demonstrable attention to detail and ability to multitask competing priorities, and have very strong organizational and communications skills.
COMMUNICATIONS
GOAL: Help to keep the congregation and the community mutually informed.
- Monitor church email and voicemail, directing messages to the proper person in a timely way.
- Communicate on behalf of the priest, the deacon, the community connections coordinator, and the congregation by returning phone calls, replying to email, and through written correspondence.
- Collect and edit up-to-date content for weekly e-news email and Sunday service announcement sheet.
- Manage timely printing of weekly worship materials.
- Publish weekly e-newsletter on a regular schedule.
- Communicate the activities of Trinity Church to members and the community by participating in social media posting and by updating information on the congregational website.
- Share key Trinity news with the Episcopal Church of New Hampshire’s communications staff.
- Take part in particular seasonal communications work, including support for additional Holy Week/Easter and Christmas activities, the preparation of the annual report prior to the January annual congregational meeting, support for fall Stewardship/annual giving campaign, and twice-yearly giving reports.
- Stay current with news related to the national Episcopal Church and the Episcopal Church of New Hampshire.
ADMINISTRATION and PROJECT MANAGEMENT
GOAL: Help the congregation’s leaders support and serve its members by keeping orderly and up-to-date records of who we are and what we do.
- Maintain Trinity’s membership database with current contact information for worshippers, givers, and friends of Trinity.
- With the Priest and ministry leaders, create and manage the scheduling of staff and volunteers for weekly worship and for community service opportunities
- Collaborate with the congregational Treasurer on correctly processing and recording income and expenses.
- Oversee the incorporation of newcomers into the parish communications system.
- Sort, distribute, file, and store paper documents including incoming US Mail.
- With the Community Connections Coordinator, schedule use of space by ministries and programs of Trinity and by outside groups by maintaining and publishing the master church calendar. Ensure that outside groups’ use of facilities is consistent with the mission and values of Trinity Church and follows established building use fees and procedures.
- Place orders for supplies as needed to ensure supplies are well stocked and available.
- Actively participate in a monthly planning meeting with the Dean, Deacon, Community Connections Coordinator, and volunteer church leaders.
- Support the volunteer building manager (“junior warden”) in coordinating the work of contractors, including cleaning staff.
PROFICIENCIES
- Personal attributes: The Communications and Administration Associate possesses and demonstrates a high level of maturity and integrity, particularly as regards being self-motivated, maintaining open communication with their supervisor, and tracking hours worked. The Communications and Administration Associate has the ability to be discrete and observe strict confidentiality.
- Communication Proficiency: The Communications and Administration Associate has strong verbal and written communication skills. They clearly and regularly communicate with the Dean/Priest, the Deacon, the Community Connections Coordinator and other church leaders as needed.
- Computer Skills: The Communications and Administration Associate has proficiency working with database management suites; Microsoft Office programs such as Word and Excel; experience with communication services like Constant Contact; experience with website platforms (particularly WordPress); and the communications tools provided by Google Suite Non-Profit.
- Growth mindset: The Communications and Administration Associate is eager to grow and extend their professional skills by participating in relevant training opportunities.
